Policies & Participant Agreement
At Altara Retreats, our goal is to create exceptional retreat experiences that are safe, seamless, and thoughtfully managed for every participant. To help ensure a positive experience for all guests, we maintain a set of policies that outline expectations, responsibilities, and important information regarding your participation.
Before completing your reservation, all participants are required to read, acknowledge, and agree to the policies below. Your booking constitutes your acceptance of these terms.
These policies are designed to:
Protect the safety and well-being of all participants.
Clearly outline booking, payment, cancellation, and travel requirements.
Define participant responsibilities and assumption of risk.
Establish expectations for respectful conduct and community participation.
Explain important legal terms, including liability limitations and required waivers.
Please review each policy carefully. If you have any questions before booking, we're happy to provide clarification.
By completing my reservation, I acknowledge that I have carefully read and understand all Altara Retreats policies, terms, conditions, waivers, and agreements. I voluntarily agree to comply with these policies and understand that they form part of my booking agreement with Altara Retreats.
This Agreement is made between Altara Retreats LLC (also referred to as “Altara, Altara Retreats,” “we,” “us,” or “our”) and retreat participants and leaders.
Altara is committed to providing thoughtfully planned, professionally managed travel experiences. While Altara takes reasonable steps to promote participant safety, comfort, and enjoyment, participants acknowledge that international travel, group experiences, and wellness activities involve inherent risks that cannot be completely eliminated. By booking and participating in an Altara Retreats experience, participants voluntarily accept responsibility for their participation and agree to the terms outlined in this Agreement.

Website Use
The content provided on the Altara website (http://www.altara-retreats.com) is intended for informational purposes only. You may view, download, and use website content for personal, non-commercial purposes.
You agree not to misuse the website, attempt unauthorized access, interfere with website functionality, or use website content without written permission from Altara.
Retreat Reservations & Payments
A reservation is confirmed only once Altara has received the required deposit or payment and provided confirmation of your booking.
All retreat pricing, payment schedules, inclusions, and deadlines will be clearly communicated at the time of booking.
Payment Plans & Failed Payments
Payment plans may be available for select retreats. Participants are responsible for completing all scheduled payments by the stated deadlines. Participants enrolled in a payment plan are responsible for ensuring that a valid payment method remains on file and that sufficient funds are available on each scheduled payment date.
If a scheduled payment is declined, returned, or otherwise unsuccessful, Altara will notify the participant and automatically reattempt payment. If payment is not successfully processed within five (5) calendar days of the original due date, a $20 failed payment fee will be assessed for each unsuccessful payment attempt. Additional failed payment fees of $20 per unsuccessful attempt will apply if subsequent scheduled payments are also declined.
If an unsuccessful payment remains outstanding for more than 15 calendar days, Altara reserves the right to suspend the participant's reservation or cancel the booking in accordance with the cancellation policy. Any applicable cancellation terms will remain in effect and result in forfeiture of payments according to the cancellation policy.
Final Payment
Unless otherwise stated, the remaining retreat balance is due 30 calendar days prior to the retreat start date.
Reservations with unpaid balances after the final payment deadline may be cancelled at Altara's sole discretion without refund. Failure to complete required payments may result in cancellation of your reservation and forfeiture of payments according to the cancellation policy.

Cancellation, Refunds, Transfers & Minimum Retreat Size
A $250 non-refundable deposit is required to reserve your requested retreat spot.
Cancellations made 121 or more calendar days before the retreat start date* will receive a full refund, excluding the $250 non-refundable deposit.
Cancellations made 91–120 calendar days before the retreat start date will receive a 75% refund of all payments received, excluding the $250 non-refundable deposit.
Cancellations made 61–90 calendar days before the retreat start date will receive a 50% refund of all payments received, excluding the $250 non-refundable deposit
No refunds will be issued for cancellations made 60 calendar days or fewer before the retreat start date.
*Retreat start date means the scheduled first day of the retreat as stated in the participant's booking confirmation.
Reservations may not be transferred to another participant without prior written approval from Altara, which must be approved at least 30 business days before the retreat start date. Transfer approval requires that all payments have been made in full on the original reservation and that the replacement participant agrees to all applicable Altara Terms & Conditions and meets all participant requirements. A transfer is not effective until it has been approved in writing by Altara and the replacement participant has completed any required registration or documentation. Until a transfer has been approved in writing and completed, the original participant remains responsible for all payment obligations associated with the reservation. Reservations become non-transferable within 30 calendar days of the retreat start date.
Cancellations & Transfer requests must be submitted in writing by email to hello@altara-retreats.com. The effective dates for requested cancellations & transfers is the date captured when the email is sent. Altara will reply to these requests within 3 business days of receipt.Minimum Participant Requirement & Altara Cancellation
Altara reserves the right to establish a minimum number of participants required for a retreat to proceed. Unless otherwise stated for a specific retreat, the minimum enrollment requirement is ten (10) confirmed participants.
If the minimum participant requirement is not met by the minimum enrollment deadline stated on the retreat's booking page or otherwise communicated to participants, Altara reserves the right to cancel or reschedule the retreat, based on their sole discretion.
In the event Altara cancels a retreat solely because the minimum participant requirement has not been met, participants will receive a full refund of all payments made directly to Altara for the retreat package.
Refunds under this section are limited to amounts paid to Altara and do not include any additional expenses incurred by participants, including but not limited to airfare, travel arrangements, visa costs, travel insurance premiums, personal expenses, or other costs outside of the retreat package.
Participants acknowledge that international retreat experiences require advance planning, vendor commitments, and minimum participation levels to operate successfully. Participants are strongly encouraged to purchase travel insurance that provides coverage for trip cancellation, interruption, and other unforeseen circumstances.

Instructor & Program Changes
Participants acknowledge that retreat instructors, facilitators, guest teachers, and other program leaders are subject to change due to illness, injury, emergency, personal circumstances, travel disruptions, or other circumstances beyond Altara Retreats' reasonable control.
While Altara Retreats makes every reasonable effort to deliver the retreat as advertised, no specific instructor, facilitator, teacher, or guest presenter is guaranteed unless guarantee is expressly stated otherwise in writing. Altara Retreats reserves the right to substitute an instructor or modify portions of the retreat program when reasonably necessary.
A change in instructor, facilitator, or other program leader, including the cancellation or unavailability of the advertised instructor, does not by itself constitute a cancellation of the retreat, breach of contract, or grounds for a refund, cancellation, or other compensation, provided that Altara Retreats continues to provide the retreat experience and reasonably comparable programming.
When reasonably possible, Altara Retreats will provide notice of significant instructor changes and will make reasonable efforts to provide a qualified replacement or an alternative program that maintains the intended character and value of the retreat.
Participants acknowledge that they are purchasing a retreat experience as a whole and not solely the services of any individual instructor or facilitator.
Itinerary, Accommodation & Program Changes
Altara makes reasonable efforts to provide the retreat itinerary, accommodations, activities, excursions, and other experiences substantially as described at the time of booking. However, participants acknowledge that travel arrangements and retreat programming may be affected by circumstances including weather, transportation availability, operational requirements, supplier changes, local conditions, safety considerations, or other circumstances beyond Altara Retreats' reasonable control.
Altara reserves the right to make reasonable changes to the retreat itinerary, schedule, activities, excursions, accommodations, transportation arrangements, venues, meals, or other program elements when necessary or appropriate.
Where possible, Altara will provide advance notice of significant changes and will make reasonable efforts to provide a comparable alternative. A change to an itinerary item, activity, excursion, accommodation, or other program element does not automatically entitle a participant to a refund, cancellation, or other compensation, provided that Altara Retreats continues to provide a reasonably similar retreat experience as described at the time of booking.
Changes resulting from circumstances beyond Altara Retreats' reasonable control may also be subject to the Force Majeure provisions of these Terms.
Instructor changes are addressed separately in Section 5, Instructor & Program Leader Changes.
Third-Party Supplier Disclaimer
Altara contracts with independent third-party providers including:
Resorts
Transportation companies
Tour or excursion operators
Activity providers
Restaurants
Catering
Local guides
Altara is not responsible for the acts, omissions, negligence, bankruptcy, delays, or service failures of these independent providers.

Force Majeure
Altara shall not be liable for any delay, cancellation, interruption, modification, or inability to perform its obligations under this Agreement due to circumstances beyond its reasonable control ("Force Majeure Events"). Force Majeure Events include, but are not limited to, natural disasters, severe weather, wildfires, earthquakes, pandemics, epidemics, government actions or travel restrictions, political unrest, acts of terrorism, labor disputes, transportation disruptions, resort closures or resort initiated retreat cancellation, utility failures, or any other unforeseen event that makes the retreat impracticable, unsafe, or impossible to operate.
In the event a Force Majeure Event affects the retreat, Altara reserves the right to postpone, modify, relocate, or cancel the retreat as circumstances reasonably require. Whenever possible, participants will be offered the opportunity to transfer their reservation to a rescheduled retreat or receive a future travel credit.
If a refund is requested following a Force Majeure Event, any refund shall be limited to funds recovered by Altara from third-party vendors, including but not limited to accommodations, transportation providers, excursion operators, and other contracted suppliers. Altara shall not be responsible for costs or losses that are not recoverable from third-party vendors, including airfare, travel insurance, passport or visa fees, personal expenses, or other travel-related costs incurred independently by the participant or Retreat Partner.
For this reason, Altara strongly recommends that participants obtain comprehensive travel insurance that includes coverage appropriate to their individual circumstances, including trip cancellation, interruption, medical expenses, and emergency evacuation, etc.

Travel Requirements & Optional Insurance Policy
Travel insurance is strongly recommended but not required for participation in an Altara Retreats experience. Because retreat reservations, accommodations, transportation, activities, and other travel arrangements may be subject to non-refundable or limited-refund policies, participants are encouraged to carefully consider purchasing a comprehensive travel insurance policy that provides coverage appropriate to their individual circumstances.
Travel insurance may provide protection for unforeseen circumstances, including but not limited to:
Trip cancellation or interruption
Emergency medical expenses while traveling
Emergency medical evacuation and repatriation
Travel delays or interruptions
Lost, delayed, or stolen baggage
Other covered travel-related losses
Participants are responsible for reviewing the terms, conditions, exclusions, limitations, and eligibility requirements of any insurance policy before purchasing coverage. Altara does not provide insurance advice and does not guarantee that any particular policy will provide coverage for a participant's circumstances.
Participants who choose to purchase travel insurance are encouraged to do so as soon as possible after booking, as certain benefits or coverage options may be time-sensitive. Participants may also wish to consider Cancel For Any Reason (CFAR) coverage where available and appropriate.
If a participant chooses not to purchase travel insurance, they acknowledge that they are assuming the financial risk of circumstances that may result in cancellation, interruption, delay, medical expenses, evacuation, lost or delayed baggage, or other travel-related losses. Altara Retreats' cancellation and refund policies will continue to apply regardless of whether a participant has purchased travel insurance.
Altara is not responsible for losses, expenses, or costs that could have been covered by travel insurance but are not covered because the participant declined to purchase insurance, failed to maintain coverage, or purchased a policy that does not provide coverage for the applicable circumstance.
By declining travel insurance, participants acknowledge that they have been advised of the potential benefits of obtaining coverage and accept responsibility for determining whether travel insurance is appropriate for their individual circumstances.
Passport, Visa & Entry Requirements
Participants are responsible for ensuring they have:
A valid passport and any required travel documentation
Appropriate visas or entry requirements for the destination
Required vaccinations or health documentation, if applicable
Customs regulations, if applicable
Personal travel insurance, if they choose
Any necessary medications or personal items
Altara is not responsible for denied entry, missed flights, passport issues, airline delays, lost luggage, or other circumstances outside of our control. Failure to meet entry requirements does not qualify for any refunds.
Airfare & Independent Travel
Unless specifically included:
Airfare is the participant's sole responsibility.
Altara is not responsible for airline delays, cancellations, missed connections, baggage loss, or schedule changes.

Health, Wellness & Personal Responsibility
Participants acknowledge that Altara may include activities such as yoga, movement practices, hiking, swimming, cultural experiences, sightseeing, excursions, and other wellness or adventure activities that involve varying levels of physical activity and inherent risk.
By participating, each guest represents that they are physically capable of participating in the retreat and are responsible for determining whether participation is appropriate based on their individual health, fitness level, and personal circumstances. Participants are responsible for informing Altara Retreats and appropriate retreat personnel of any allergies, dietary restrictions, injuries, accessibility needs, or other health or safety considerations that they believe may affect their ability to safely participate or that may require reasonable accommodation. Participants should notify Altara Retreats of accessibility needs as early as reasonably possible after booking so that reasonable efforts can be made to determine whether requested accommodations can be arranged.
Altara does not provide medical advice, diagnosis, treatment, or healthcare services. Participants remain solely responsible for managing their own health and obtaining any necessary medical clearance prior to travel.
If a participant experiences a medical emergency and is unable to make or communicate decisions, the participant authorizes Altara and its representatives, to the extent reasonably necessary, to contact emergency services and facilitate emergency medical care. The participant remains responsible for all medical, transportation, evacuation, and related expenses incurred during the retreat. For this reason, Altara strongly recommends that participants obtain comprehensive travel insurance that includes coverage appropriate to their individual circumstances, including trip cancellation, interruption, medical expenses, and emergency evacuation.
Altara reserves the right to refuse or discontinue a participant's involvement in any activity, or to remove a participant from the retreat, if it reasonably determines that continued participation presents a safety risk to the participant or others, or materially disrupts the retreat experience. Such decisions shall not entitle the participant to a refund or credit.
By participating in the retreat, guests acknowledge and voluntarily assume the inherent risks associated with international travel and retreat activities and agree to participate at their own discretion and responsibility.

Participant Code of Conduct
Altara is committed to creating a safe, respectful, and meaningful experience for all participants, hosts, partners, and local communities. By participating in an Altara experience, participants agree to conduct themselves in a manner that supports the safety, dignity, comfort, and enjoyment of everyone involved.
Participants agree to:
Treat all guests, hosts, instructors, staff, vendors, local partners, and community members with respect, kindness, and consideration.
Respect cultural traditions, local customs, laws, and community standards of the destination country.
Follow all safety guidelines, instructions, and reasonable requests provided by Altara, retreat leaders, instructors, guides, accommodations, transportation providers, and activity operators.
Respect retreat accommodations, facilities, shared spaces, equipment, and property belonging to Altara, partners, vendors, and other guests.
Maintain appropriate behavior during all retreat activities, excursions, transportation, and shared experiences.
Refrain from harassment, discrimination, intimidation, threatening behavior, violence, excessive intoxication, illegal activity, or any conduct that creates an unsafe, disruptive, or uncomfortable environment for others.
Respect the privacy of other participants and obtain consent before photographing, recording, or sharing images or personal information of others.
Take personal responsibility for their own actions, decisions, and behavior throughout the retreat.
Participants are responsible for their personal belongings. Altara Retreats is not responsible for loss, theft, damage, or disappearance of personal property except to the extent required by applicable law.
Altara reserves the right, at its reasonable discretion, to address conduct that negatively impacts the safety, well-being, experience, or reputation of the retreat or its participants. This may include requiring a participant to discontinue participation in specific activities or, in serious cases, removing a participant from the retreat without refund or compensation.
If a participant is removed from a retreat due to violation of this Code of Conduct, the participant will be responsible for any additional costs incurred, including transportation, accommodations, meals, or other expenses related to their departure. Altara shall not be responsible for any refunds, credits, or expenses resulting from removal due to participant conduct.
Participants acknowledge that a shared commitment to respect, personal responsibility, and consideration of others is essential to creating the intentional retreat experience that Altara strives to provide.

Release of Liability, Waiver, Indemnification & Limitation of Liability
To the fullest extent permitted by applicable law, participants, on behalf of themselves and their heirs, representatives, successors, and assigns, voluntarily release, waive, discharge, and agree not to pursue any claims against Altara and its owners, employees, contractors, affiliates, retreat partners, vendors, and independent service providers (collectively, the “Released Parties”) for any claims, demands, actions, damages, losses, liabilities, costs, expenses, or causes of action arising out of or related to participation in the retreat.
This release includes, but is not limited to, claims arising from personal injury, illness, death, property loss or damage, emotional distress, inconvenience, delay, additional expenses, transportation issues, changes in itinerary, acts or omissions of third-party providers, or participation in any retreat-related activity.
Participants acknowledge and agree that Altara acts as a retreat organizer and coordinator and may work with independent third-party providers, including accommodations, transportation companies, instructors, guides, restaurants, and activity providers. Altara is not responsible for the acts, omissions, negligence, failures, or performance of independent third-party providers beyond Altara’s reasonable control.
Participants agree to indemnify, defend, and hold harmless Altara and the Released Parties from any claims, damages, liabilities, losses, costs, or expenses (including reasonable legal fees where permitted by law) arising from the participant’s actions, misconduct, breach of these terms, violation of applicable laws, or failure to follow safety instructions.
Participants acknowledge that participation in an Altara experience involves personal responsibility and acceptance of risk. To the fullest extent permitted by law, Altara’ total liability for any claim arising from participation in a retreat shall be limited to the amount paid by the participant directly to Altara for the retreat experience.
Nothing in these terms is intended to waive liability that cannot legally be waived under applicable law, including liability arising from gross negligence, willful misconduct, or other circumstances where such limitations are prohibited.
Participants acknowledge that Altara coordinates retreat experiences but does not control independent third-party suppliers. Each supplier is responsible for its own services and operations.

Chargeback Policy
By completing a booking, submitting payment, or participating in an Altara experience, participants acknowledge that they have read, understood, and agreed to these Terms & Conditions, including the cancellation, refund, and payment policies.
Participants agree to contact Altara Retreats directly before initiating a payment dispute when reasonably possible. Nothing in this section limits a participant's rights under applicable law or the rules of the participant's financial institution.
Filing a chargeback does not automatically entitle a participant to a refund or override the terms of this Agreement, including cancellation policies, payment obligations, or agreed-upon fees.
Participants agree that any chargeback or payment dispute submitted in bad faith, including disputes for services that were properly provided, made available, or governed by agreed-upon cancellation terms, may be considered a breach of this Agreement.
To the fullest extent permitted by applicable law, Altara reserves the right to pursue recovery of any amounts improperly disputed, along with reasonable administrative costs, collection expenses, and legal fees where permitted by law.
Nothing in this section limits a participant’s rights to pursue a legitimate dispute or claim through their financial institution or applicable consumer protection laws.

Photography, Video & Marketing Release
During retreats, photography and video may be captured for marketing, social media, website content, promotional, and educational purposes.By participating in an Altara experience, you grant permission for your image or likeness to be used unless you have requested otherwise in writing prior to the retreat.
Intellectual Property
All website content, branding, logos, photography, written materials, presentations, workbooks, recordings, and other intellectual property belonging to Altara may not be copied, reproduced, or used without written permission.
Participants may not reproduce, distribute, or sell these materials without written permission.

To provide retreat experiences and fulfill services requested by participants, we may share necessary information with trusted third-party providers, including:

We only share information reasonably necessary to coordinate and provide retreat services.
Third-party providers are independent businesses and are responsible for their own privacy practices. Altara is not responsible for the privacy policies, practices, or security procedures of third-party providers.
Payment Information
Payments are processed through secure third-party payment providers. Altara does not store complete credit card numbers or full payment account information.
Payment information is processed according to the privacy policies, security practices, and terms of the applicable payment processing provider.
International Travel Information
Because Altara coordinates international retreat experiences, certain personal information may be shared with service providers located outside your country of residence, including providers located in the destination country where a retreat is hosted.
By booking an international retreat, you acknowledge that your information may be transferred internationally as necessary to coordinate accommodations, transportation, activities, and other retreat services.
Altara takes reasonable steps to work with reputable service providers and expects appropriate handling of participant information; however, we cannot guarantee the privacy practices or security measures of independent third parties.
Cookies and Website Analytics
Our website may use cookies and similar technologies to improve functionality, analyze website traffic, understand visitor behavior, and improve our services.
You may adjust your browser settings to refuse cookies; however, certain website features may not function properly.
Email Communications
If you subscribe to Altara communications or newsletter, we may send retreat announcements, updates, educational content, and promotional communications.

Governing Law & Dispute Resolution
These Terms and Conditions, and any disputes, claims, or controversies arising out of or relating to an Altara experience, booking, payment, participation, or the relationship between the participant and Altara, shall be governed by and interpreted in accordance with the laws of the State of Utah, United States, without regard to conflict of law principles.
In the event of any dispute or disagreement, the participant and Altara agree to first make a good-faith effort to resolve the matter through direct communication and reasonable discussion.
If the dispute cannot be resolved through good-faith negotiation, the parties agree to participate in confidential mediation before pursuing formal legal action, unless mediation is prohibited by law or a party requires immediate legal relief that cannot reasonably be delayed.
Mediation shall be conducted with a mutually agreed-upon mediator and in a location or format reasonably agreed upon by both parties. Costs for mediation may be split equally between both parties for resolution.
If the dispute remains unresolved following mediation, any legal action arising from or relating to these Terms shall be brought in the state or federal courts located in the county where Altara maintains its principal place of business in Utah. The participant consents to the jurisdiction and venue of such courts.
To the fullest extent permitted by applicable law, the prevailing party in any legal proceeding related to these Terms may be entitled to recover reasonable attorney’s fees, costs, and expenses incurred in connection with enforcing these Terms.
If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
Nothing in these Terms is intended to waive any rights or protections that cannot legally be waived under applicable law.
Electronic Signature & Agreement
Participants acknowledge that:
They have read this Agreement in its entirety.
They understand the risks involved.
They agree to all policies and conditions.
Their electronic signature has the same legal effect as a handwritten signature.
Entire Agreement. These Terms and Conditions, together with the participant's booking confirmation and any other documents expressly incorporated by reference, constitute the entire agreement between the participant and Altara concerning the retreat and supersede prior or contemporaneous representations, communications, or agreements concerning the same subject matter, except as expressly stated otherwise in writing.
Amendments. No modification, amendment, waiver, or exception to these Terms shall be binding unless made in writing by Altara or otherwise permitted by these Terms.
