Policies & Participant Agreement
At Altara Retreats, our goal is to create exceptional retreat experiences that are safe, seamless, and thoughtfully managed for every participant. To help ensure a positive experience for all guests, we maintain a set of policies that outline expectations, responsibilities, and important information regarding your participation.
Before completing your reservation, all participants are required to read, acknowledge, and agree to the policies below. Your booking constitutes your acceptance of these terms.
These policies are designed to:
Protect the safety and well-being of all participants.
Clearly outline booking, payment, cancellation, and travel requirements.
Define participant responsibilities and assumption of risk.
Establish expectations for respectful conduct and community participation.
Explain important legal terms, including liability limitations and required waivers.
Please review each policy carefully. If you have any questions before booking, we're happy to provide clarification.
By completing my reservation, I acknowledge that I have carefully read and understand all Altara Retreats policies, terms, conditions, waivers, and agreements. I voluntarily agree to comply with these policies and understand that they form part of my booking agreement with Altara Retreats.

Website Use
The content provided on the Altara Retreats LLC website is intended for informational purposes only. You may view, download, and use website content for personal, non-commercial purposes.
You agree not to misuse the website, attempt unauthorized access, interfere with website functionality, or use website content without written permission from Altara Retreats LLC.
Retreat Reservations & Payments
A reservation is confirmed only once Altara Retreats LLC has received the required deposit or payment and provided written confirmation of your booking.
All retreat pricing, payment schedules, inclusions, and deadlines will be clearly communicated at the time of booking.
Final Payment
Unless otherwise stated, the remaining retreat balance is due 30 days prior to the retreat departure date.
Reservations with unpaid balances after the final payment deadline may be cancelled at Altara Retreats LLC' discretion without refund of the initial deposit.
Failure to complete required payments may result in cancellation of your reservation and forfeiture of payments according to the cancellation policy outlined below.
Where available, third-party financing options (such as Klarna or similar services) are offered solely as a convenience to participants. Any financing agreement exists exclusively between the participant and the financing provider. Altara Retreats LLC is not responsible for financing approvals, payment schedules, interest charges, fees, or disputes arising from those agreements.
Payment Plans & Failed Payments
Payment plans may be available for select retreats. Participants are responsible for completing all scheduled payments by the stated deadlines. Participants enrolled in a payment plan are responsible for ensuring that a valid payment method remains on file and that sufficient funds are available on each scheduled payment date.
If a scheduled payment is declined, returned, or otherwise unsuccessful, Altara Retreats LLC will notify the participant and automatically reattempt payment. If payment is not successfully processed within five (5) calendar days of the original due date, a $20 failed payment fee will be assessed for each unsuccessful payment. Additional failed payment fees may apply if subsequent scheduled payments are also declined.
If a payment remains outstanding for more than 15 calendar days, Altara Retreats LLC reserves the right to suspend the participant's reservation or cancel the booking in accordance with the cancellation policy. Any applicable cancellation terms and non-refundable amounts will remain in effect.

Cancellation, Refunds & Minimum Enrollment
A $250 non-refundable deposit is required to reserve your space.
Cancellations made 121 or more days before the retreat start date will receive a full refund, excluding the non-refundable deposit..
Cancellations made 91–120 days before the retreat start date are eligible for a refund of 75% of payments received, excluding the non-refundable deposit.
Cancellations made 61–90 days before the retreat start date will receive a 50% refund of all payments received, excluding the $250 non-refundable deposit
No refunds will be issued for cancellations made 60 days or fewer before the retreat start date.
Reservations may be transferred to another participant with written approval from Altara Retreats LLC up to 30 days before the retreat start date. Reservations become non-transferable within 30 days of the retreat.
Minimum Participant Requirement & Retreat Cancellation by Altara Retreats LLC
Altara Retreats LLC reserves the right to establish a minimum number of participants required for a retreat to proceed. Unless otherwise stated for a specific retreat, the minimum enrollment requirement is ten (10) confirmed participants.
If the minimum participant requirement is not met by the applicable registration deadline, Altara Retreats LLC reserves the right to cancel the retreat.
In the event Altara Retreats LLC cancels a retreat solely because the minimum participant requirement has not been met, participants will receive a full refund of payments made directly to Altara Retreats LLC for the retreat package.
Refunds under this section are limited to amounts paid to Altara Retreats LLC and do not include any additional expenses incurred by participants, including but not limited to airfare, travel arrangements, visa costs, travel insurance premiums, personal expenses, or other costs outside of the retreat package.
Participants acknowledge that international retreat experiences require advance planning, vendor commitments, and minimum participation levels to operate successfully. Participants are strongly encouraged to purchase travel insurance that provides coverage for trip cancellation, interruption, and other unforeseen circumstances.

To protect both our participants and retreat partners, comprehensive travel insurance is required for all Altara Retreats LLC. Participants are responsible for purchasing and maintaining a policy that provides adequate coverage for their individual travel plans and personal circumstances.
At a minimum, all travel insurance policies must include coverage for:
Trip cancellation and interruption
Medical expenses incurred while traveling: $100,000 USD
Emergency medical evacuation and repatriation: $250,000 USD
Lost, delayed, or stolen baggage
Travel delays
Participants are strongly encouraged to purchase travel insurance immediately after confirming their retreat reservation to maximize available coverage. Altara Retreats LLC also highly recommends purchasing a policy that includes Cancel For Any Reason (CFAR) coverage, when available, as this provides the greatest flexibility should personal circumstances change.
Participants will be required to provide proof of travel insurance at least 30 days prior to departure. Failure to provide proof of the required coverage by the deadline established by Altara Retreats LLC may result in cancellation of the reservation without refund.
Altara Retreats LLC shall not be responsible for financial losses or expenses resulting from illness, injury, family emergencies, airline delays or cancellations, lost baggage, severe weather, natural disasters, government travel advisories or restrictions, political unrest, or any other event that prevents a participant from attending or completing the retreat. Altara Retreats LLC is unable to provide refunds or exceptions for circumstances that are reasonably insurable through available travel insurance coverage.
Passport, Visa & Entry Requirements
Participants are responsible for ensuring they have:
A valid passport and any required travel documentation
Appropriate visas or entry requirements for the destination
Required vaccinations or health documentation, if applicable
Customs regulations, if applicable
Personal travel insurance
Any necessary medications or personal items
Altara Retreats LLC is not responsible for denied entry, missed flights, passport issues, airline delays, lost luggage, or other circumstances outside of our control. Failure to meet entry requirements does not qualify for a refund.
Airfare & Independent Travel
Unless specifically included:
Airfare is the participant's responsibility.
Altara Retreats LLC is not responsible for airline delays, cancellations, missed connections, baggage loss, or schedule changes.

Health, Wellness & Personal Responsibility
Participants acknowledge that Altara Retreats LLC may include activities such as yoga, movement practices, hiking, swimming, cultural experiences, sightseeing, excursions, and other wellness or adventure activities that involve varying levels of physical activity and inherent risk.
By participating, each guest represents that they are physically capable of participating in the retreat and are responsible for determining whether participation is appropriate based on their individual health, fitness level, and personal circumstances. Participants agree to disclose any relevant medical conditions, injuries, allergies, dietary restrictions, medications, accessibility needs, or other considerations that may affect their participation or require reasonable accommodations.
Altara Retreats LLC does not provide medical advice, diagnosis, treatment, or healthcare services. Participants remain solely responsible for managing their own health and obtaining any necessary medical clearance prior to travel.
In the event of a medical emergency, participants authorize Altara Retreats LLC to obtain or arrange emergency medical treatment when reasonably necessary if the participant is unable to do so. Participants acknowledge that they are solely responsible for all medical expenses, emergency transportation, evacuation costs, and related charges incurred during the retreat. For this reason, comprehensive travel insurance that includes emergency medical and evacuation coverage is required.
Altara Retreats LLC reserves the right to refuse or discontinue a participant's involvement in any activity, or to remove a participant from the retreat, if it reasonably determines that continued participation presents a safety risk to the participant or others, or materially disrupts the retreat experience. Such decisions shall not entitle the participant to a refund or credit.
By participating in the retreat, guests acknowledge and voluntarily assume the inherent risks associated with international travel and retreat activities and agree to participate at their own discretion and responsibility.

Assumption of Risk
To the fullest extent permitted by applicable law, participants, on behalf of themselves and their heirs, representatives, successors, and assigns, voluntarily release, waive, discharge, and agree not to pursue any claims against Altara Retreats LLC and its owners, employees, contractors, affiliates, retreat partners, vendors, and independent service providers (collectively, the “Released Parties”) for any claims, demands, actions, damages, losses, liabilities, costs, expenses, or causes of action arising out of or related to participation in the retreat.
This release includes, but is not limited to, claims arising from personal injury, illness, death, property loss or damage, emotional distress, inconvenience, delay, additional expenses, transportation issues, changes in itinerary, acts or omissions of third-party providers, or participation in any retreat-related activity.
Participants acknowledge and agree that Altara Retreats LLC acts as a retreat organizer and coordinator and may work with independent third-party providers, including accommodations, transportation companies, instructors, guides, restaurants, and activity providers. Altara Retreats LLC is not responsible for the acts, omissions, negligence, failures, or performance of independent third-party providers beyond Altara Retreats LLC’s reasonable control.
Participants agree to indemnify, defend, and hold harmless Altara Retreats LLC and the Released Parties from any claims, damages, liabilities, losses, costs, or expenses (including reasonable legal fees where permitted by law) arising from the participant’s actions, misconduct, breach of these terms, violation of applicable laws, or failure to follow safety instructions.
Participants acknowledge that participation in an Altara Retreats LLC experience involves personal responsibility and acceptance of risk. To the fullest extent permitted by law, Altara Retreats LLC’ total liability for any claim arising from participation in a retreat shall be limited to the amount paid by the participant directly to Altara Retreats LLC for the retreat experience.
Nothing in these terms is intended to waive liability that cannot legally be waived under applicable law, including liability arising from gross negligence, willful misconduct, or other circumstances where such limitations are prohibited.
Participants acknowledge that Altara Retreats LLC coordinates retreat experiences but does not control independent third-party suppliers. Each supplier is responsible for its own services and operations.

Altara Retreats LLC is committed to creating a safe, respectful, and meaningful experience for all participants, hosts, partners, and local communities. By participating in an Altara Retreats LLC experience, participants agree to conduct themselves in a manner that supports the safety, dignity, comfort, and enjoyment of everyone involved.
Participants agree to:
Treat all guests, hosts, instructors, staff, vendors, local partners, and community members with respect, kindness, and consideration.
Respect cultural traditions, local customs, laws, and community standards of the destination country.
Follow all safety guidelines, instructions, and reasonable requests provided by Altara Retreats LLC, retreat leaders, instructors, guides, accommodations, transportation providers, and activity operators.
Respect retreat accommodations, facilities, shared spaces, equipment, and property belonging to Altara Retreats LLC, partners, vendors, and other guests.
Maintain appropriate behavior during all retreat activities, excursions, transportation, and shared experiences.
Refrain from harassment, discrimination, intimidation, threatening behavior, violence, excessive intoxication, illegal activity, or any conduct that creates an unsafe, disruptive, or uncomfortable environment for others.
Respect the privacy of other participants and obtain consent before photographing, recording, or sharing images or personal information of others.
Take personal responsibility for their own actions, decisions, and behavior throughout the retreat.
Altara Retreats LLC reserves the right, at its sole discretion, to address conduct that negatively impacts the safety, well-being, experience, or reputation of the retreat or its participants. This may include requiring a participant to discontinue participation in specific activities or, in serious cases, removing a participant from the retreat without refund or compensation.
If a participant is removed from a retreat due to violation of this Code of Conduct, the participant will be responsible for any additional costs incurred, including transportation, accommodations, meals, or other expenses related to their departure. Altara Retreats LLC shall not be responsible for any refunds, credits, or expenses resulting from removal due to participant conduct.
Participants acknowledge that a shared commitment to respect, personal responsibility, and consideration of others is essential to creating the intentional retreat experience that Altara Retreats LLC strives to provide.

During retreats, photography and video may be captured for marketing, social media, website content, promotional, and educational purposes.
By participating in an Altara Retreats LLC experience, you grant permission for your image or likeness to be used unless you have requested otherwise in writing prior to the retreat.
Intellectual Property
All website content, branding, logos, photography, written materials, presentations, workbooks, recordings, and other intellectual property belonging to Altara Retreats LLC may not be copied, reproduced, or used without written permission.
Participants may not reproduce, distribute, or sell these materials without written permission.

Altara Retreats LLC shall not be liable for any delay, cancellation, interruption, modification, or inability to perform its obligations under this Agreement due to circumstances beyond its reasonable control ("Force Majeure Events"). Force Majeure Events include, but are not limited to, natural disasters, severe weather, wildfires, earthquakes, pandemics, epidemics, government actions or travel restrictions, political unrest, acts of terrorism, labor disputes, transportation disruptions, resort closures, utility failures, or any other unforeseen event that makes the retreat impracticable, unsafe, or impossible to operate.
In the event a Force Majeure Event affects the retreat, Altara Retreats LLC reserves the right to postpone, modify, relocate, or cancel the retreat as circumstances reasonably require. Whenever possible, participants will be offered the opportunity to transfer their reservation to a rescheduled retreat or receive a future travel credit.
If a refund is requested following a Force Majeure Event, any refund shall be limited to funds recovered by Altara Retreats LLC from third-party vendors, including but not limited to accommodations, transportation providers, excursion operators, and other contracted suppliers. Altara Retreats LLC shall not be responsible for costs or losses that are not recoverable from third-party vendors, including airfare, travel insurance, passport or visa fees, personal expenses, or other travel-related costs incurred independently by the participant or Retreat Partner.
For this reason, Altara Retreats LLC requires all participants to maintain comprehensive travel insurance that includes coverage for trip cancellation, interruption, medical expenses, and emergency evacuation.
Itinerary Changes
Altara Retreats LLC reserves the right to make reasonable adjustments to retreat schedules, activities, accommodations, instructors, vendors, or itineraries when necessary due to operational requirements, availability, weather restrictions, vendor availability, safety concerns, or circumstances outside of our control.
We will make reasonable efforts to provide an experience that reflects the original retreat vision. Reasonable substitutions shall not constitute grounds for cancellation or refund.
